Why lease term and annual kilometres matter for your fleet costs

Two businesses can lease the identical vehicle and end up paying very different amounts each month. The reason almost always comes down to two numbers agreed right at the start.

Those two numbers are the lease term and your expected annual kilometres, alongside vehicle choice and the services bundled into the contract. Get these right up front, and the rest of your fleet planning gets much easier.  They also influence what the vehicle is expected to be worth at the end of the term. You don't set that figure, but it's a major part of how the monthly price is worked out.

What goes into an operating lease price?

It's one of the questions we're asked most often: how is a lease payment calculated? There's no single formula, but the main inputs are consistent. They are the vehicle itself and its purchase price, the lease term, your expected annual kilometres, the maintenance and tyre allowances built in, and the vehicle's expected value at the end of the term.

How does the lease term affect cost and planning?

A longer term isn't automatically cheaper, and a shorter one isn't automatically more expensive. The term needs to match how the vehicle will be used day to day, how servicing and warranty cover line up over that period, and when you'll want to replace it. A term that runs well past a vehicle's practical working life usually costs more in the long run, not less, since older vehicles typically need more maintenance and hold less value at handback.

How do annual kilometres affect cost?

Annual kilometres feed directly into servicing schedules, tyre wear and the vehicle's likely condition and value at the end of the lease, in other words its operating lease residual value. Higher kilometres also add road user charges, which are paid per kilometre, so distance feeds straight into your running costs. A realistic annual km allowance lease NZ operators can rely on comes from real journey data or telematics history, not guesswork. Set it too low and you're into excess kilometre charges NZ businesses want to avoid; set it too high and you're paying every month for capacity you never use.

What happens if fleet usage changes?

Usage rarely stays exactly as planned across a full lease term. If it shifts, whether kilometres climb faster than expected or a vehicle's role in the business changes, it's worth reviewing sooner rather than waiting until renewal. Talk to your Yoogo Fleet account manager about how a variation to the arrangement would work for your situation, including the timing and any cost involved in adjusting it mid-term.

What should be included in a like-for-like cost comparison?

The monthly price on its own tells you very little. Compare it alongside what's genuinely included, such as scheduled servicing, agreed tyre allocation, reporting and fleet support, rather than a headline number that excludes most of what you'll need day to day. On Yoogo Fleet's We Own & Maintain, You Drive lease, for example, servicing, tyres, road user charges, windscreen cover and a fuel card are bundled into one fixed monthly cost, with windscreen repairs and a fee-free fuel card managed for you, which is a different proposition to a bare vehicle price with everything else charged on top later. If you're comparing quotes and aren't sure what each one includes, the Yoogo Fleet team can walk you through the differences, including how a fully maintained lease compares with one where servicing and tyres are charged separately.

How can a business choose the right term and annual kilometres?

Start with how the vehicle is used in practice, not an industry rule of thumb. Look at its purpose, your realistic annual kilometres, and your own replacement plan. Yoogo Fleet's telematics is included as standard across every vehicle it owns or manages, so the data needed to support this kind of review is already there rather than something you have to go and build from scratch. That won't tell you a specific saving in advance, but it does mean the next term and kilometre allowance can be set from real usage rather than a guess. See our full range of solutions for how each option handles this.

Lease term and expected annual kilometres are two of the biggest levers you control in your fleet costs, but they're not the only ones. Vehicle choice and what's genuinely included in the contract affect the structure just as much.

If you want to work through the numbers against your fleet's real usage, talk to Yoogo Fleet and the team will be able to help you match the lease structure to how your vehicles are used, or start with the We Own & Maintain, You Drive option.
