With Yoogo Fleet’s Digital Concierge, the average service or warrant of fitness booking goes from up to an hour of phone calls to around two minutes. For Steel & Tube, which runs around 200 vehicles, the length of the country, that means drivers in control of their own servicing, with a clearer line of sight for the fleet team.
Coordinating a single vehicle service, warrant of fitness (WoF) or repair can take up to an hour, once the calls, follow-ups and scheduling are added up. Across Yoogo Fleet’s customer base, that process now takes an average of around two minutes, thanks to Digital Concierge, its automated servicing and compliance platform and what Yoogo says is the first of its kind built by a fleet company in Australasia. For Steel & Tube, now live on Digital Concierge, it has changed the day-to-day, most of all for the drivers.
APM fleet snapshot
Fleet size: Around 200 vehicles across four business divisions
Vehicle Mix: Utes, SUVs and working vans operating on sites nationwide
With Yoogo Fleet: Just over six years
Now live on: Digital Concierge: automated servicing and compliance
What Changed: Drivers book their own servicing and WoF; flexibility to book anywhere; clear written confirmations; fewer ad hoc calls to the fleet team
Why fleet servicing eats so much admin
Most fleet managers know the routine. Even with telematics flagging when a vehicle needs attention, booking the work in still meant phone calls and follow-ups between the fleet provider, the driver and the service agent. Often the fleet manager had to step in to keep things moving. Across a fleet the size of Steel & Tube’s, around 200 vehicles spanning utes, SUVs and working vans in four business divisions, that adds up to a lot of calls and a lot of chasing. Yoogo Fleet manages around 6,000 vehicles nationwide, so the same friction was showing up right across its customer base.
How Digital Concierge works
Digital Concierge builds on the telematics fitted to every Yoogo vehicle. When a vehicle signals it is due for a service or WoF, the driver gets a message with a link, picks a time and location with a preferred provider, and books it in. A written confirmation comes straight back. Click, Pick, Book.
“The vehicle tells us what it needs, the driver books it in, and the fleet manager knows their fleet is compliant and mechanically sound. It’s proactive, not reactive.”
Dave Riches, GM Operations, Yoogo Fleet
Control back in the driver’s hands
For Steel & Tube, the immediate shift was simple. Booking moved out of a chain of phone calls and into the hands of the person driving the vehicle, with a clear written record rather than a half-remembered conversation.
“It gives control back to the driver. They can book their own servicing and WoF in a way that suits them, without all the back-and-forth phone calls.”
Antony Clere, Group Freight, Logistics & Procurement Controls, Steel & Tube
Servicing that travels with the driver
Steel & Tube’s work vans operate on sites around the country, so drivers are often in a different place from week to week. Being able to book servicing wherever they are, rather than waiting until they’re back home, is where Digital Concierge earns its keep. It is a benefit any fleet with people on the move will recognise.
“For us, one of the biggest advantages is flexibility. Our drivers can be in Auckland one week and Wellington the next, and they can still book servicing in the location that works for them.”
Antony Clere, Steel & Tube
Service providers benefit too. With earlier visibility of upcoming work, they can plan their capacity and schedule more efficiently. It’s a rare change that works for everyone in the chain.
Where the benefit lands
The clearest winners are the drivers. They get control of their own servicing and WoF, the flexibility to book wherever they are, and a written record rather than a phone call to remember. The fleet team feels it too, just more quietly. With drivers dealing directly with Yoogo, fewer ad hoc calls come in about day-to-day servicing, and there is a clearer line of sight on when each job is booked. And because booking is now so easy, drivers do it, which is the real reassurance for anyone responsible for keeping a fleet compliant.
Smart technology, backed by real people
Steel & Tube has been with Yoogo Fleet for over six years. What keeps the relationship working, Antony Clere says, is the pairing of the technology with the people behind it, plus a forward-thinking approach that keeps finding new ways to take work off the customer’s plate.
“It’s the technology and the people relationships that really make the point of difference. That’s what makes it a good fit for Steel & Tube.”
Antony Clere, Steel & Tube
The details differ from one fleet to the next, but the admin behind servicing is a common battle. Digital Concierge is now live across Yoogo Fleet’s customer base. To see how it could work for your business, visit yoogofleet.co.nz.
